Privacy policy

This document explains what personal data we process on this website, for what purpose, and what your rights are. If you need more detail or anything is unclear, please get in touch.
1. Controller and contact details

2. What data we process and why
2.1. Enquiries and service requests
Purpose: to answer your question, prepare a quote and agree the provision of a surveying service.
Data processed: name and surname, email address, telephone number, the service type selected, the site address or cadastre number, and any comments you provide. We obtain this directly from you — you enter it in the contact form or provide it when contacting us by email, telephone or WhatsApp.
Legal basis: steps taken at your request prior to entering into a contract (Article 6(1)(b) of the General Data Protection Regulation).
Recipients: submission of the contact form is handled technically by Web3Forms, acting as a processor. See section 4 for more on recipients.
2.2. Website usage statistics
Purpose: to count visits and their sources so we can understand how the site is used and improve it.
Data processed: the pages visited, the date and time of the visit, approximate location, device and browser type, and a unique visitor identifier stored in a cookie. The data is collected by Google Analytics 4.
Legal basis: your consent (Article 6(1)(a) of the General Data Protection Regulation). Without consent no statistics are collected and Google Analytics is not loaded on the site at all. You can withdraw consent at any time — see section 3.
2.3. Embedded Google Map
The contact section contains an embedded Google Map showing our office location. The map is not loaded automatically: until you have given consent or pressed "Load the map", no request is sent to Google and none of your data, including your IP address, is passed to Google. The legal basis for loading the map is your consent.
3. Cookies
Cookies are small files that a website stores in your browser. This website uses two categories of cookie.
Necessary. These make the site work and store your cookie choice. The site cannot function correctly without them, so consent is not requested for this category.
Analytics. Google Analytics 4 cookies used for visit statistics. They are only created after your explicit consent. If you do not give consent or you decline, these cookies are not created and your visit is not included in our statistics.
No marketing or audience-targeting cookies are used on this website.

You can give or withdraw consent at any time using the button below. After withdrawal, analytics cookies are no longer created.
4. Recipients and processors
We do not pass personal data to third parties, other than service providers processing data on our behalf:
- Web3Forms — delivers contact form submissions to our email.
- Google Ireland Limited — provides Google Analytics 4 visit statistics and displays the Google Map.
We may also pass data to state and municipal authorities where this follows from legislation or is necessary to provide the service, for example when a survey is submitted for approval to the relevant institution.
5. Transfers outside the European Economic Area
The service providers named above may also process data outside the European Economic Area, including in the United States. Where that happens, the transfer takes place on the basis of a European Commission adequacy decision or the standard contractual clauses approved by the European Commission.
6. Retention periods
We keep personal data no longer than is necessary for the relevant purpose or than is required by law. Enquiry correspondence is kept for as long as needed to deal with the enquiry and any resulting engagement; data forming part of the documentation of a completed job is kept for the period prescribed by the legislation governing that documentation.
7. Your rights
You have the following rights in respect of your personal data:
- Right of access — you can ask what data of yours we hold, why we process it, how we obtained it and to whom we have passed it, how long it will be kept, and receive a copy. We can deal with a request faster if you give a specific time period and describe the data you want as precisely as possible.
- Right to rectification — if your data is inaccurate or out of date, state clearly which data needs correcting and what the current information is.
- Right to erasure — state exactly which data you want erased and why. Please note that erasure is not possible in every case.
- Right to restriction of processing — if you are unsure whether we are processing data properly, you can ask us to restrict a specific processing operation, saying why you believe it should be restricted.
- Right to object — in certain cases you can object to processing on grounds relating to your particular situation. In such a request it matters that you describe the circumstances behind your objection.
- Right to data portability — if you want the data we hold about you compiled and transmitted to another controller or to you, state which data you want transferred.
- Right to withdraw consent — where processing is based on your consent, you can withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before it.
To make a request, write to birojs@ventspilsmernieks.lv or to Riekstu iela 23, Ventspils, LV-3601, Latvia. Please include your name and contact details so that we can identify you and reply.
We will consider your request without undue delay and reply no later than one month from the day we receive it. If dealing with the request takes longer, we may extend that by a further two months, informing you within one month.
8. Complaints
If you have concerns about how we use your personal data, please contact us first at birojs@ventspilsmernieks.lv. If you consider that we have processed your data unlawfully, you also have the right to lodge a complaint with the supervisory authority:

We may amend this privacy policy at any time. The current version is always available on this page, and its date is shown at the top.
